# How to export data from Yardi

## How to export your data from Yardi

Yardi exports are product-specific. Breeze users typically start with reports (rent roll, owner statements, maintenance, prospects). Voyager customers usually need a services-led extract from Voyager, DataMart or custom reports. Always inventory which Yardi products you run (Voyager, Breeze, RentCafe, PayScan, and so on) before you request data.

### 1. Rent roll and occupancy

Run the current rent roll, vacancy and lease abstracts. For Voyager, agree a report or DataMart extract with your Yardi administrator.

Typical format: Excel/CSV reports; Voyager may require a services extract.

### 2. Accounting

Export GL, AR, AP, owner statements and unallocated receipts. Multi-entity Voyager books need an entity map before load into Yorlet.

Typical format: Trial balance plus transaction detail.

### 3. Prospects and leases

Export applicant/prospect queues, screening outcomes and lease documents from Breeze or RentCafe.

Typical format: CSV plus PDF leases.

### 4. Maintenance and owners

Export open work orders, vendor lists and owner portal documents. Recent Breeze versions can publish inspections to the owner portal — download those files too.

Typical format: CSV plus attachments.

## Watch-outs before you leave

- Breeze and Voyager are different products. An export path that works on one will not apply to the other.
- RentCafe content (websites, prospect chats, resident files) can sit outside the PMS database. Include it in the inventory.
- US-shaped fields (ACH, 1099, state lease packs) will not map 1:1 onto UK tenancies. Plan a field mapping with Yorlet.

### Before you export

- Keep identifiers (tenancy ID, property ID, email) consistent across every export file.
- Export connected systems in the same window so repairs and payments still join to the tenancy.
- Plan Direct Debit re-enrolment if the collector is changing.
