Export guide

How to export your data from Fixflo

Fixflo holds issue history, occupiers, contractors, quotes and invoices. Use in-product reports and the API for a structured extract. Because Fixflo is usually attached to a PMS, export the PMS tenancy and unit list in the same window so repairs still attach to the right property.
  1. 1

    Open and closed issues

Run issue and works-order reports from Fixflo dashboards, including photos, diagnosis, status and SLA state. For a full history, use the API or ask Fixflo support for a bulk export.

Typical format: CSV/Excel reports or API JSON.

  2. 2

    Properties, units and occupiers

These records often sync from the PMS. Export them from the PMS of record and from Fixflo if local copies have extra attributes.

Typical format: CSV plus PMS export.

  3. 3

    Contractors and certificates

Export contractor records, insurance and qualification documents, and planned-maintenance schedules so compliance dates are not lost.

Typical format: CSV plus document files.

  4. 4

    Quotes and invoices

Download quote and invoice attachments linked to works orders. Accounts will need these to match owner recharges after cutover.

Typical format: PDF attachments plus a CSV index.

Watch-outs before you leave

  • Photos and occupier messages live on the issue, not in the PMS. A PMS-only export will drop the repair trail.
  • Contractor marketplace jobs may have a different audit trail from your own contractors. Include both.
  • If you move to Yorlet Maintenance, map Fixflo statuses to Yorlet issue statuses before go-live so open SLAs do not reset.
Import

Importing into Yorlet

Grant Yorlet access to Fixflo (and any connected CRM, collector or maintenance tool). We transfer properties, people, tenancies, balances and documents, train your team and stay with you through go-live. Read the generic switch process if you want the four-stage view.

Before you export

  • Keep identifiers (tenancy ID, property ID, email) consistent across every export file.
  • Export connected systems in the same window so repairs and payments still join to the tenancy.
  • Plan Direct Debit re-enrolment if the collector is changing.
